Cancellation Policy

1. Overview

At Ethereal Fine Dining, we understand that plans can change. This Cancellation Policy outlines our procedures and fees for reservation cancellations and modifications. We appreciate your understanding as these policies help us manage our limited seating and provide the best experience for all our guests.

2. Standard Reservations (Parties of 1-5 Guests)

2.1 Cancellation Timeline

  • More than 24 hours in advance: Full refund, no cancellation fee
  • Less than 24 hours in advance: $25 per person cancellation fee
  • Less than 6 hours in advance: $50 per person cancellation fee
  • No-show: Full tasting menu price charged ($85 per person)

3. Large Parties (6 or More Guests)

3.1 Deposit Requirement

  • A non-refundable deposit of $50 per person is required to secure reservations for parties of 6 or more
  • Deposit is applied to your final bill
  • Credit card authorization is required at time of booking

3.2 Cancellation Timeline

  • More than 72 hours in advance: Deposit refunded minus $25 processing fee
  • 48-72 hours in advance: 50% of deposit refunded
  • Less than 48 hours: No refund of deposit
  • No-show: Full deposit forfeited plus additional charges may apply

3.3 Party Size Reductions

  • Reductions in party size must be communicated at least 48 hours in advance
  • Reducing party size below 6 guests within 48 hours may result in cancellation fees
  • Last-minute reductions may forfeit deposit for reduced guests

4. Private Events and Special Occasions

4.1 Private Dining Rooms

  • Private dining room reservations require a deposit of $500-$1,000 depending on room size
  • Cancellations more than 14 days in advance: 75% refund
  • Cancellations 7-14 days in advance: 50% refund
  • Cancellations less than 7 days: No refund

4.2 Tasting Menu Events

  • Chef's tasting menu events require full prepayment
  • Cancellations more than 7 days in advance: Full refund
  • Cancellations 3-7 days in advance: 50% refund
  • Cancellations less than 3 days: No refund

4.3 Holiday and Special Event Reservations

  • Reservations for Valentine's Day, New Year's Eve, and other special events have stricter policies
  • Full prepayment required at time of booking
  • Cancellations more than 14 days in advance: 75% refund
  • Cancellations less than 14 days: No refund
  • No-shows forfeit full payment

5. Modifications to Reservations

5.1 Date and Time Changes

  • Changes to date or time are subject to availability
  • Modifications more than 24 hours in advance: No fee
  • Modifications less than 24 hours: Treated as cancellation and new booking
  • One free modification allowed per reservation

5.2 Party Size Changes

  • Increases in party size subject to availability
  • Decreases in party size should be communicated as soon as possible
  • We can accommodate minor changes (±2 guests) with 24 hours notice

5.3 Special Requests

  • Dietary modifications can be made up to 24 hours before your reservation
  • Seating preferences cannot be guaranteed but we'll do our best
  • Special occasion arrangements should be confirmed 48 hours in advance

6. Late Arrivals

  • We hold reservations for 15 minutes past the scheduled time
  • After 15 minutes, your table may be released to waiting guests
  • If you're running late, please call us at +1 (555) 123-4567
  • We will make every effort to accommodate late arrivals, but cannot guarantee seating
  • Arrivals more than 30 minutes late may be treated as no-shows

7. No-Show Policy

  • Failure to arrive for your reservation without prior cancellation is considered a no-show
  • No-shows will be charged the full tasting menu price ($85 per person)
  • Repeated no-shows may result in inability to make future reservations
  • Credit card on file will be charged for no-show fees

8. Weather and Emergency Situations

8.1 Severe Weather

  • In case of severe weather warnings, we may waive cancellation fees
  • Restaurant closure due to weather results in full refund
  • Please contact us to discuss rescheduling options

8.2 Personal Emergencies

  • We understand that emergencies happen
  • Medical emergencies and family emergencies will be handled on a case-by-case basis
  • Documentation may be required for fee waiver
  • Contact us at reservations@ethereal-dining.com to discuss your situation

8.3 Restaurant Closures

  • If we must close due to unforeseen circumstances, you will receive full refund
  • We will contact you as soon as possible to reschedule
  • Priority rebooking will be offered

9. Refund Processing

  • Refunds are processed to the original payment method
  • Please allow 5-10 business days for refunds to appear
  • Refund confirmations will be sent via email

10. Gift Cards and Vouchers

  • Reservations made with gift cards follow the same cancellation policy
  • Cancelled reservations paid with gift cards will be refunded to the gift card
  • Promotional vouchers may have different cancellation terms (see voucher details)
  • Expired vouchers cannot be used for rebooking

11. Disputes and Exceptions

  • We handle all situations with understanding and flexibility
  • If you believe you were charged incorrectly, please contact us immediately
  • Disputes should be raised within 30 days of the charge
  • Management has final discretion on fee waivers and exceptions
  • We aim to resolve all disputes amicably and fairly

12. Policy Updates

This Cancellation Policy may be updated periodically. Changes will be effective immediately upon posting. The policy in effect at the time of your booking applies to your reservation. We recommend reviewing this policy before making a reservation.
